Issues causing scanning to fail & how to resolve each issue

Scan to folder / FTP connection errors are typically caused by at least one of the following issues & can be resolved by the points listed under each issue.

Please Note: If you are unable to get scanning working or unsure on how to do anything listed below you will need to contact service on 5493 3411 and log a help desk job. Helpdesk jobs are done in order of when they were logged with a technician calling back & remote in using TeamViewer to fix the issue.

ISSUE ONE – IP Address / Hostname of computer has changed.

  1. Check the IP address of the computer scanning isn’t working to.
  • Renew IP address

    On a Windows computer, use the following information to release and renew your IP address:

    • Go to “Start > Run” and type “cmd” (no quotes), then select “OK”

    • Type “ipconfig” (no quotes) and press “Enter”

    • Finally, type “exit” (without quotes) then press “Enter” to close the window

2. Access the address book in the copier either via the web interface (see below) or at the machine itself.

  • Check Copier Address Book Settings
    1. From the copier print out a “Counter / Status page”
    2. Locate on the page the IP Address of the copier.
    3. Open you web browser and go the site http://IP-ADDRESS OF COPIER/ e.g. http://192.168.1.50/
    4. Select the Address Book link located mid-way down on the left navigation bar & select Machine Address Book
    5. Locate in the list your Address book entry for the PC you scanning to or Click Add New
    6. Scroll mid-way down till you locate the section called “FTP”
    7. Check that the value listed in Host Address is the same IP Address of your PC
      1. Modify the host value If this differs from the IP of your PC
      2. Re-enter the user name and password values with “User : scans” & “Password : scans”
      3. Scroll to bottom of page and click on “Save / Update”

ISSUE TWO – 3rd party Security / Firewall software on the computer blocking external connections or the scanning software (FileZilla FTP Server)

  1. Check the firewall settings in the security software.

  2. Add an exception for FileZilla FTP Server so it is not blocked (Step 5 on the link above for Windows or Step 8 on the link above for a Mac)

Some Security Software requires you to ensure it is configured correctly & the local network is set as a trusted network otherwise it treats it as a public network and blocks external connections.

ISSUE THREE – Windows inbuilt firewall is blocking the scanning software (FileZilla FTP Server)

  1. If you have the Windows Firewall enabled you will need to either add in an exception into the Windows Firewall or re-run the Scanning Installer (see solution listed under issue 4)

ISSUE FOUR – Scanning software has been removed (FileZilla FTP Server)

  1. In this case you can follow the steps below which will re install FileZilla FTP Server and add a firewall exception into the Windows Firewall.

Custom Installation Files

Please note to run the installer on a Windows PC or Laptop the user must have local admin rights on the PC / Laptop & musted be connected to the network.

  1. Download the file(s) listed above that you require.
  2. Once downloaded some systems won’t allow you to run it unless you set to unblock it.

Unblock File Steps:

1. Go to the folder where the file was downloaded to

2.    Right click on the file and select Properties

3.    Click Unblock

4.    Click OK

3. In the event that your virus scanners blocks it follow these steps. (A couple of virus scanners block it as a false positive and find it easier to do the below instead of adding an exception in the virus scanner)

  1. Disable your virus scanner
  2. Download the file again
  3. Unblock the file
  4. Run the installer
  5. Once finished then enable virus scanner

4. When the installer runs it extracts the install files and then a black dos window is displayed. Once the installation is completed the dos window closes automatically.

Modifying your firewall & other computer changes can have serious security repercussions. Avoid changing firewall settings unless you know what you’re doing.
